What is the right CRM for your Organization?

Monday, September 19, 2022

There is no shortage of CRM systems (Customer Relationship Management system) these days. Every IT vendor promotes its type of CRM using similar buzzwords. Naturally, clients are easily confused and may choose the wrong software.

The reality sets in after you, the client have invested money and time to implement the new software, have trained your team. Suddenly, your team starts criticizing the software. This comes down to two reasons:

  • Your team is simply resisting change, prefers the old workflow and outdated practices. In this case you need change management when implementing the new CRM and its workflow. Your team needs to embrace change.
  • The new CRM does not really support your business at all, or it only supports part of it and stops short. This means that you selected the wrong software.

The primary reason for using a CRM has been “I need to better manage my contacts”. In recent years, the CRM (Customer Relationship Management system) has evolved far beyond being just a tool for general contact management.

The common Breakdown of CRM’s

You can put general-use CRM software into different categories. Each category serves a specific need or market.
First let us list the CRM categories generally published in the press:

  • Operational CRM streamlines the various processes for customer relationships and helps apply them to the central business process. Operational CRM helps companies generate leads, convert leads into contacts and provide service infrastructure needed to retain customers.
  • Analytical CRM enables organizations to better understand the data gathered on customers and their interactions with the business. It's a key resource for turning large amounts of data into actionable insights.
  • Collaborative CRM bridges the gap between teams and departments to share information and create a seamless customer experience.

Challenges of traditional CRM’s

Unfortunately, the above approach can be often misleading.

Why? First, most organizations require a CRM that fall into more than one category. Everybody wants to manage leads (operational), but don’t you want to also run reports (analytical), and enable your remote teams to communicate with you through the CRM (collaborative)? If so, the above categories and their CRM’s may not be enough.

Then let us think more holistically: Once you have qualified leads, and they are ready to do business with you, you need to include operations and your transactional processes into this equation. But then, generating revenue has never been a virtue of CRM. This is where all CRM systems will fail.

As a result, organizations are forced to add different software applications to the CRM, a transactional software that supports your business model, a customer facing support software, an accounting system and much more. This means larger IT investments and high costs of system integrations. Even if your organization decides to go this path, you will end up with a multitude of databases and data silos.

Why are data silos so problematic? They prevent you from obtaining transparency or real knowledge about your business. You only get insight into each silo, and it is up to you to manually create your own report of what you need. The best way to find out whether you already experience data silos is to ask for an up-to-date customer list including all activities and purchases of the last 12 months. If you get spreadsheets with partial data, then you already live this nightmare.

Breaking down Data Silos: The All-in-One Approach

Imagine you can generate new contacts and leads, nurture them, convert them into customers, and even transact with them using a single software platform. Maybe even host weekly webinars, and send out surveys to collect feedback? This means no more broken processes or isolated databases, no piecemeal software, no partial reporting.

Simplifying Association Management

All associations have two things in common: (1) a complex business model that needs to drive engagement with members through a variety of interactive events, and (2) limited funding to support the business.

Traditional association management software apps often impose limits because they do not offer innovative ways to serve members in a post-Covid world. Or they become more difficult to use as they add piecemeal apps to their core system as recently with Virtual Event platforms.
